Exhibitors Terms and Conditions

The Exhibitor must use only the space allocated to it and must not obstruct walkways, emergency exits, neighbouring exhibitors, sponsor areas, networking areas, stages, common spaces or any other part of the venue.
No structural alterations may be made to the venue. Exhibitors may not attach fixtures, equipment, signage, banners, stickers, materials or any other items to walls, ceilings, floors, glass, furniture or venue structures without prior written approval from Unity Growth.

Exhibitor Package and Materials

The items included in each exhibitor package will be those confirmed in writing by Unity Growth, on the event website, in the relevant invoice, or in any specific exhibitor confirmation email.
Unless otherwise agreed in writing, any additional requirements, including extra furniture, electricity points, screens, internet, printing, storage, special installation, technical support or promotional placements, may be subject to availability and additional charges.
The Exhibitor is responsible for bringing all products, samples, laptops, devices, promotional materials, chargers, adapters, extension leads, display materials and staff required for its participation, unless these are expressly included in the agreed package.

Exhibitor participation is not confirmed until the relevant participation fee has been paid in full, unless Unity Growth has agreed otherwise in writing.
All fees are exclusive of VAT unless expressly stated otherwise. Where applicable, VAT will be added to the invoice in accordance with the laws of the Republic of Cyprus.
If payment remains outstanding after the due date, Unity Growth reserves the right to cancel the Exhibitor’s participation, reallocate the exhibition space, remove the Exhibitor’s logo or promotional benefits, and/or deny access to the event until payment has been received in full.
The Exhibitor may not withhold, deduct or set off any amounts payable to Unity Growth unless this has been agreed in writing.
Refunds, Cancellations and Non-Attendance
Exhibitor fees are non-refundable, unless the event is cancelled by Unity Growth and no alternative arrangement is offered.
If the Exhibitor cancels its participation, fails to attend, fails to set up on time, or does not occupy the allocated exhibition space before the event opening time, Unity Growth may reallocate the space without refund.
Any request to transfer an exhibitor package to another company or organisation must be made in writing and will be subject to approval by Unity Growth.

Setup, Breakdown and Access

Exhibitors must arrive at the venue during the setup period communicated by Unity Growth and must ensure that their exhibition area, materials and equipment are fully installed and ready before the event opening time.
Unity Growth will not be responsible for any delay, interruption, loss of opportunity, reduced visibility, inability to participate or other issue resulting from the Exhibitor’s late arrival, incomplete setup, lack of equipment, lack of staff or failure to follow event instructions.
Exhibitors must dismantle and remove all products, equipment, materials, displays, packaging and waste at the end of the event or within the breakdown period communicated by Unity Growth.
Any items left behind may be removed, stored or disposed of by Unity Growth or the venue. Any related costs may be charged to the Exhibitor.

Exhibitor Responsibilities

The Exhibitor is solely responsible for its participation at the event and must ensure that its activities are conducted in a professional, safe, respectful and lawful manner at all times.
The Exhibitor is responsible for its staff, contractors, representatives, products, services, equipment, displays, demonstrations, promotional activities, transactions and interactions with attendees.
The Exhibitor must obtain and maintain all licences, permits, approvals, registrations, certifications and insurances required for its business activities, products, services and participation at the event.
The Exhibitor must comply with all applicable laws, regulations, venue rules, health and safety requirements and instructions issued by Unity Growth, the venue owner or any competent authority in the Republic of Cyprus.

Health, Safety and Equipment

The Exhibitor must ensure that all products, services, demonstrations, promotional activities, equipment and materials used at the event are safe, suitable and compliant with applicable legal, safety and regulatory requirements.
The Exhibitor must not create any fire hazard, obstruction, dangerous condition, nuisance, disturbance, excessive noise, offensive display or risk to attendees, other exhibitors, venue staff, speakers, sponsors or event personnel.
All electrical equipment brought to the event must be safe, properly maintained and suitable for use. Cables, chargers, extension leads and other installations must be positioned safely and must not create trip hazards or other risks.
Unity Growth may provide access to electricity where available, but the Exhibitor remains responsible for providing any extension leads, adapters, power strips, cable protection, connectors or other equipment required for its own setup, unless otherwise agreed in writing.
Unity Growth reserves the right to require the immediate removal, adjustment or disconnection of any equipment, materials or displays that it considers unsafe, unsuitable, disruptive or non-compliant.

Products, Services and Sales

Exhibitors may only promote, demonstrate or sell products and services that have been approved or reasonably accepted by Unity Growth in connection with their participation.
The Exhibitor is solely responsible for any sales, orders, payments, receipts, customer communications, product guarantees, returns, complaints, consumer rights, taxes, regulatory obligations and after-sales support relating to its own products or services.
Unity Growth is not a party to any transaction between the Exhibitor and an attendee, customer, sponsor, visitor or third party.
The sale or promotion of illegal, unsafe, offensive, misleading, counterfeit, unauthorised or regulated products or services is strictly prohibited.

Branding and Promotional Materials

The Exhibitor must ensure that all logos, banners, signs, flyers, presentations, merchandise, digital materials and other promotional content are accurate, lawful, professional and not misleading.
The Exhibitor grants Unity Growth the right to use the Exhibitor’s name, logo, brand materials and submitted information for event-related promotion, including on the event website, social media, printed materials, agenda flyers, digital screens, event communications, photo backdrops and post-event promotional materials.
The Exhibitor may not use the Unity Growth name, Women in Business and Beyond name, event logo, trademarks, designs, photos, videos or other intellectual property without prior written consent, except to promote its confirmed participation in the event in a fair and accurate manner.

Conduct at the Event

Unity Growth is committed to creating a professional, respectful and inclusive environment. Exhibitors, their staff and representatives are expected to maintain a high standard of conduct at all times.
Harassment, discrimination, inappropriate comments, aggressive sales behaviour, unwelcome physical contact, offensive materials, disruption of sessions, or conduct that may damage the reputation of the event will not be tolerated.
Unity Growth reserves the right to remove any Exhibitor, staff member or representative from the event at its discretion, without refund, where their behaviour is considered inappropriate, unsafe, unlawful or inconsistent with the values of the event.

Badges and Staff Passes

All Exhibitor staff must register and collect their badges in accordance with the instructions provided by Unity Growth.
Badges are personal and may not be shared, transferred or used by anyone other than the person to whom they are assigned.
Unity Growth may refuse entry to any person who does not have a valid badge, whose badge details do not match their identification, or who attempts to use another person’s badge.
No changes to badge details may be accepted once badges have been printed, unless Unity Growth decides otherwise at its discretion.

Media Consent and Digital Recording

By participating in the event, Exhibitors acknowledge that they, their staff, representatives, exhibition area, products, services, branding and promotional materials may be photographed, filmed or recorded.
The Exhibitor grants Unity Growth, its partners, sponsors, media teams and authorised representatives the right to use photographs, video, audio recordings and other event content for promotional, commercial, educational, archival and communication purposes, without the need for further approval or compensation.
Exhibitors may take reasonable photographs and videos of their own stand and participation, provided this does not disrupt the event, infringe the privacy or rights of others, or conflict with instructions issued by Unity Growth.
Professional recording, media coverage, live streaming or filming beyond the Exhibitor’s own stand area requires prior written approval from Unity Growth.

Changes, Postponement and Cancellation

Unity Growth reserves the right to make changes to the event date, venue, floorplan, schedule, programme, speakers, format, exhibition layout, exhibitor allocation or event content where necessary due to operational, commercial, safety, venue, regulatory or unforeseen circumstances.
In the case of postponement, Unity Growth may transfer the Exhibitor’s participation to the new event date, unless otherwise communicated.
In the case of cancellation by the Exhibitor, the Exhibitor shall be entitled to a full refund of the participation fee paid, provided that written notice of cancellation is received by Unity Growth at least fifteen (15) working days before the event date. Any cancellation received less than fifteen (15) weeks before the event shall be non-refundable, unless otherwise agreed in writing by Unity Growth.
Unity Growth will not be liable for any loss of profits, loss of business opportunity, travel costs, accommodation costs, marketing costs, production costs, staffing costs or other expenses incurred by the Exhibitor as a result of changes, postponement or cancellation, except where required by applicable law.

Liability, Insurance and Indemnity

The Exhibitor participates at its own risk and is responsible for the security, insurance and supervision of its property, equipment, products, stock, displays and personal belongings.
Unity Growth will not be responsible for any loss, theft, damage, injury, claim, fine, penalty, business interruption, loss of profit, loss of revenue, loss of opportunity, loss of goodwill or indirect loss arising from the Exhibitor’s participation, except where caused by Unity Growth’s gross negligence or wilful misconduct.
The Exhibitor is responsible for any loss, damage, injury, claim, fine, penalty, cost or expense arising from its acts or omissions, its staff or representatives, its equipment, products or services, or its failure to comply with these terms or applicable law.
The Exhibitor agrees to indemnify and hold harmless Unity Growth, the venue owner, sponsors, partners, employees, representatives and contractors against any claims, losses, damages, liabilities, costs or expenses arising from the Exhibitor’s breach of these terms, negligence, misconduct, unlawful acts, products, services, equipment, activities or participation at the event.
Nothing in these terms excludes liability where such exclusion is not permitted under the laws of the Republic of Cyprus.

Venue Rules and Damage

The Exhibitor must comply with all venue rules and instructions communicated by Unity Growth, the venue owner, security personnel, technical staff or authorised event representatives.
The Exhibitor will be responsible for any damage caused to the venue, furniture, fixtures, equipment, flooring, walls, signage, event materials or third-party property by the Exhibitor, its staff, contractors, representatives, products, equipment or activities.
The Exhibitor must leave its allocated space in a clean and orderly condition.

Personal Data

The Exhibitor must handle any personal data collected during the event in accordance with applicable data protection laws.
Where the Exhibitor collects attendee details directly, including business cards, forms, QR code scans, sign-ups or mailing list subscriptions, the Exhibitor is responsible for ensuring that it has the necessary consent or lawful basis to use such information.
Unity Growth is not responsible for the Exhibitor’s use of personal data collected independently by the Exhibitor.

Governing Law

These Exhibitors Terms and Conditions are governed by and construed in accordance with the laws of the Republic of Cyprus.
Any dispute arising in connection with these terms or the Exhibitor’s participation at the event shall be subject to the competent courts of the Republic of Cyprus.

General

These terms apply together with any exhibitor confirmation, invoice, sponsorship agreement, written package description, event instructions, venue rules and other terms communicated by Unity Growth.
If there is any inconsistency between these terms and a separate written agreement signed by Unity Growth and the Exhibitor, the signed written agreement shall prevail to the extent of the inconsistency.
Unity Growth may update these terms from time to time. The version applicable to the Exhibitor will be the version communicated or made available at the time of confirmation, unless otherwise required for legal, operational, safety or venue reasons.
